How to photograph a 200 guest awards gala
A gala is three events inside one evening, and each one wants a different kind of coverage. Arrivals, then dinner and the awards, then the room loosening up.
4:30 to 6:00 was arrivals. Portraits of guests as they came in, before anyone had been on their feet for three hours. People look their best in the first ninety minutes and they know it, so that is when you ask.
6:00 to 8:00 was candid coverage through dinner and the Hall of Fame awards. Awards are the part nobody can reshoot. Every name called happens once, so the camera stays on the stage and on the table of the person being called, not on the dessert.
8:00 to 9:00 was after. Handshakes, group shots people ask for themselves, the photographs that only exist because you were still there.
The booth ran alongside, not instead
A drop-off selfie booth ran from 4:30 while the photography covered the room. It is a real Canon camera with proper lighting, not a phone on a stand, and guests share straight to their own phone by QR code, text or email. Guests leave with their own pictures the same night and the full gallery still arrives complete.
